KIARO CASE NOTES
Newsletter privacy notice
Version newsletter-2026-10-15.1 · Updated 15 October 2026
Who is responsible
KIAROAI LTD, company number 17341748, is the controller. Our registered office is 46 Moor Lane, Rickmansworth, England, WD3 1LG. Contact dom@kiaroai.com for questions, withdrawal or privacy requests. The inbox is monitored every 60 minutes.
What you are subscribing to
Case Notes is Kiaro's monthly PMCPA case digest, covering published decisions, outcomes, relevant clauses and practical learning. Newsletter consent is separate from waiting-list consent. Joining or leaving one does not change the other. We will not enrol waiting-list contacts automatically.
Information and purpose
We use your email address to request confirmation, deliver Case Notes and provide secure subscription-management links. We record your exact consent wording and version, request and confirmation timestamps, privacy version and content fingerprint. This lets us deliver the requested newsletter and record your choice. Consent is our basis for newsletter emails; minimal withdrawal and suppression records help us respect your choice and demonstrate how it was handled. Necessary service operation and abuse prevention use limited security records, on the basis of our legitimate interests in protecting the service.
Confirmation and choice
You must expressly opt in and confirm your email before receiving digests. Confirmation links expire after 24 hours. Every newsletter email provides an unsubscribe link. You can leave without logging in or giving a reason. Opening an email link alone does not subscribe or unsubscribe you. A provider-supported one-click unsubscribe POST also stops future delivery. An email already accepted for sending may still arrive.
Storage and delivery
Newsletter records are kept in a separate private namespace in Kiaro's Microsoft Azure storage in UK South. Delivery uses the existing verified Azure Communication Email sender, with replies directed to dom@kiaroai.com. Microsoft processes information to provide these services. Records are not shared with PMCPA and are not sold. Email engagement tracking is disabled; delivery processing is recorded. Microsoft service processing and any applicable international safeguards are subject to Microsoft's contractual terms.
How long information is kept
- Unconfirmed personal details are removed after 48 hours by maintenance.
- Active subscription details expire 365 days after the most recent confirmation. Sending an edition does not renew this period; a fresh confirmation is needed to continue.
- Unsubscribe removes contact details and queued messages immediately. Minimal consent proof is retained for up to 730 days after withdrawal. Self-service deletion removes this proof too.
- A protected, keyed suppression identifier is retained while the newsletter list operates to prevent unwanted contact. It is personal data, not an anonymous record.
- Abuse-prevention rate identifiers expire within 24 hours and are removed by maintenance.
Your rights
A secure management link lets you download your own subscription information or delete it. To change your email, unsubscribe the old address and confirm the new one. Contact us for access, correction, restriction, objection or other privacy requests. Requests do not enrol you in emails. We normally respond within one calendar month, subject to applicable rules. You can complain to the Information Commissioner's Office.
